The Role

The Health Care Assistant (HCA) supports patients and those close to them within the inpatient unit, delivering compassionate care to people with life-limiting illness. Working under hospice policies and alongside registered nurses, the HCA contributes to the assessment, planning, and delivery of specialist palliative care. As part of the multi-disciplinary team, the HCA promotes safe, high-quality, and timely support. Moya Cole operates across two sites, and while based at one, the HCA may be required to provide cross-site or service cover.

Job Summary

Support the Finance Department by ensuring accurate analysis and processing of financial data in line with internal policies and procedures. Respond promptly to enquiries from suppliers, staff, and donors by investigating issues and providing clear, timely advice. Work collaboratively with finance colleagues to ensure all tasks are completed within required financial reporting deadlines.

The Role

The Finance Assistant will:

  • Take responsibility for the secure receipt, counting, banking, and recording of all physical monies received into the hospice, in accordance with Hospice policy.
  • Download, reconcile, and record all electronically received income.
  • Share responsibility for petty cash, banking of miscellaneous income, and other general office duties.
  • Accurately enter all donations into the database and manage associated Gift Aid declarations.
  • Ensure full compliance with regulations surrounding Gift Aid, Direct Debits and Data Protection following training, and report any breaches to the Finance Manager.
  • Share responsibility for investigating and resolving queries across all income streams, including invoicing and online donations, while liaising effectively with internal teams and external customers.
  • Share responsibility for processing, resolving queries, and reconciling the Purchase Ledger, maintaining effective communication with internal colleagues and external suppliers.
  • Reconcile the bank accounts for both the Hospice and its Trading Company.

Requirements

The Finance Assistant will be able to:

  • Demonstrate experience working in an office or financial environment as part of a collaborative team.
  • Manage time and workload effectively, prioritizing tasks to meet deadlines.
  • Show understanding of key financial processes including cash handling, banking, reconciliations, and both Purchase and Sales Ledgers.
  • Provide evidence of experience using accounting software to process Sales and Purchase invoices, as well as posting basic journals.
  • Display proficiency in Microsoft Office applications, including Outlook, Teams, and Excel (with knowledge of basic formulas).
  • Express a commitment to developing IT and digital skills to support evolving finance systems and processes.

The Counsellor will:

  • Assessment, planning and delivery of counselling and theraputic interventions to a consistently high standard in the context of specialist palliative and supportive care.
  • Foster good working relationships and communicate with members of the multi-disciplinary team, other healthcare professional and users of the service to ensure the delivery of high standards of effective specialist palliative and supportive care.
  • Act in accordance with The British Association for Counselling and Psychotherapy (BACP).

Requirements

The Counsellor will have:

  • A Diploma or equivalent (Level 4) in Counselling.
  • Post qualifying experience of working in a health, or social care setting.
  • Awareness of the importance of self-care.
  • A knowledge of relevant legislation and guidance (e.g. Mental Capacity and Safeguarding).
  • A good standard of computer literacy.
  • Access to a vehicle to enable independent travel between hospice sites
  • A commitment to continuous professional development in accordance with the organisation’s Competency Framework.

The Counsellor will be able to demonstrate:

  • In-depth knowledge of bereavement care.
  • Experience of working with loss and bereavement in a counselling context.
  • Effective communication skills, both written and verbal.

  • Understanding and commitment to working within the code of practice and ethical framework of the relevant professional body (BACP).
  • An awareness of the importance of self-care when working with loss.

The Role

The Fundraising and Communications Support will:

  • Provide effective and high quality stewardship to our fundraisers and donors
  • Respond to enquiries on time (by phone, electronically or in person) about fundraising and events ensuring that enquiries are dealt with appropriately
  • Acknowledge and thank supporters within agreed timescales and processes
  • Update and help manage our CRM database, logging details on a daily basis including financial information ensuring this is within the data protection guidelines
  • Work with supporters to provide support materials and advice/information for their fundraising events and liaise with them at agreed times.
  • Support the Fundraising Team to help deploy fundraising initiatives and campaigns on time
  • Record and update non-financial information provided by supporters, such as Gift Aid declarations, data protection outputs, in memoriam tributes, legacy pledges and other personal information
  • Assist with the recruitment and management of a team of office volunteers who will increase capacity and enable the office to run smoothly
  • Carry out other duties as may be reasonably requested by Fundraising.
  • Support the Communications and Fundraising teams on the production and fulfilment of internal mailings.
  • Research and log press, blogger and other communication’s contact information and coverage.
  • Supporting the Communications Team with other regular and ad hoc tasks such as print jobs, income trackers, social media updates, managing photo permission forms, supporting organisation of photoshoots and events and assisting with research etc.
  • Supporting the development of an online photo library for the hospice and ongoing maintenance and updating of records on the system.
  • Uploading information to the St Ann’s Hospice website and Staff Hub and carrying out edits as required by the Communications Team.
  • Meet with visitors to the hospice receiving donations in a respectful and professional manner.

Requirements

The Fundraising and Communications Support will have:

  • Experience of working or volunteering in a fundraising environment
  • Working experience or education that demonstrates strong administration and organisational skills alongside ability to meet deadlines.

The Fundraising and Communications Support will be able to:

  • Attend and participate in team meetings as and represent the charity at external events when required
  • Ensure all records are held in compliance with the Data Protection Act, Fundraising Regulator and St Ann’s
  • Meet deadlines as agreed with their line manager. Have demonstrable excellent customer service skills.

The Housekeeping Assistant will have:

  • Have previous experience in a similar role.
  • Will possess or be willing to develop knowledge to ensure the hospice environment is clean and safe and facilitates the need for patients
  • Have experience in cleaning methodologies and techniques (Full training will be given)
  • Hold an NVQ in Housekeeping, or equivalent or willingness to work towards.
  • Have basic level of IT skills, with willingness to develop
  • To cover other duties when required
  • Be prepared to undertake further training courses as required.
  • Be able to organise their time and prioritise activities

Job Summary

The Role

The Management Accountant/Payroll will:

  • Be responsible for the production of St Ann’s Hospice and St Ann’s Hospice Trading Company Limited monthly management accounts to meet reporting deadlines.
  • Including,
  1. Bank reconciliations
  2. Prepayments / Accruals
  3. Deferred / accrued income
  • Investigate budget variances and provide robust analysis to Finance Manager.
  • Respond to queries from Department Managers.
  • Maintain records and reconciliation to produce the Trading Company VAT Return on a quarterly basis and assist with the Hospice annual reclaim.
  • Be responsible for processing starters/leavers and other contractual changes to employee payroll on advised by People and Culture.
  • Be responsible for adjustment to employee salaries, benefits and deductions.
  • Be responsible for the collation and import of department timesheets to pay enhancement and overtime.
  • Knowledge of pension schemes and HMRC guidelines and deadlines.
  • Utilize system reports to review payroll and discuss anomalies with the Finance manager.
  • Provide support to ensure purchase ledger invoices are processed in accordance to policy, completing monthly reconciliation’s and producing a suggested payments report.
  • Assist with the production of year end Statutory Accounts for both Hospice and Trading Company.
  • Check gift aid claims ready for submission.
  • Ensure that confidentiality is maintained at all times.
  • Assist the Finance Manager with the submitting of information to auditors and tax advisors and responding to their queries.
  • Assist the Finance Manager with the monitoring of working capital for both the Hospice and Trading company on a monthly basis.

Requirements

The Management Accountant/Payroll will have:

  • Be a qualified member of an accountancy body, a holder of an equivalent qualification or have extensive experience which supports this level of knowledge.
  • Has extensive experience in the production of both management accounts and statutory accounts.
  • Have experience in the preparation of VAT Returns and payroll
  • Strong IT skills, be proficient in Word and Excel.
  • Demonstrates excellent communication skills both written and verbally.
  • Attend appropriate courses to ensure continue professional development.

The Management Accountant/Payroll will be able to:

  • Work independently to achieve deadlines, prioritize responsibilities and be self motivating.
  • Demonstrate extensive experience in the production of management accounts and statutory accounts.
  • Analyse and evaluate management information.
  • Demonstrate excellent communication skills both written and verbally.
  • Travel independently to other hospice sites.
  • Demonstrate the hospice values.
